Google API Services — Limited Use Disclosure

Agent Felix's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google user data to provide and improve the user-facing features described in this policy.
  • We do not transfer or sell Google user data to third parties for advertising, marketing, or other unrelated purposes.
  • We do not use Google user data for personalized or targeted advertising.
  • We do not allow humans to read Google user data unless we have your affirmative consent for specific messages, it is necessary for security or to comply with applicable law, or the data has been aggregated and de-identified.

1. Introduction

Agent Felix ("Agent Felix," "Felix," "we," "us," or "our") provides an AI-powered customer-service and business-operations platform for online merchants (the "Services"). This Privacy Policy explains what information we collect, how we use and share it, how long we keep it, and the choices and rights you have.

This policy applies to visitors to our website, individuals who create an account, and the business customers (merchants) who connect their accounts and third-party services to Felix. By using the Services, you agree to the practices described here.

If you are located in the European Economic Area (EEA), the United Kingdom, Switzerland, or a U.S. state with a comprehensive privacy law (such as California), additional rights described in Sections 10 and 11 may apply to you.

2. Information We Collect

We collect the following categories of information:

  • Account information: your name, email address, business name, and authentication credentials when you register or sign in.
  • Connection data: OAuth tokens and account identifiers you authorize when you connect a third-party service (for example, your email provider, e-commerce store, or analytics account). We store access and refresh tokens securely so Felix can act on your behalf; we never receive or store your third-party account password.
  • Content processed to deliver the Services: the messages, orders, customer records, documents, and analytics that Felix reads from the services you connect in order to draft replies, resolve tickets, and produce reports.
  • Usage and device data: log data, IP address, browser and device type, pages viewed, and actions taken, collected automatically to operate and secure the Services.
  • Communications: information you provide when you contact support or correspond with us.

3. Google User Data We Access

When you connect a Google account, Felix requests only the scopes needed for the features you enable, and only with your explicit consent through Google's OAuth consent screen. Depending on the features you turn on, these may include:

  • Gmail (gmail.modify): read incoming customer-service email, draft and send replies you have reviewed, and organize the mailbox (for example, apply labels or mark messages as read) as Felix processes tickets.
  • Google Calendar (calendar.events): read availability and create or update calendar events when Felix coordinates meetings on your behalf.
  • Google Drive (drive.readonly): read brand, product, and policy documents you point Felix to, so it can ground its customer-service answers in your own materials.
  • Google Drive (drive.file): create and manage only the files Felix itself generates in your Drive, such as reports and deliverables.
  • Google Analytics (analytics.readonly, analytics.edit): read GA4 metrics for reporting features, and update GA4 configuration where you ask Felix to manage those settings.

Felix accesses this data only to provide the user-facing features described above, and only for the accounts you have connected. You can disconnect any Google account at any time (see Section 8), which revokes Felix's access going forward.

4. How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the Services, including reading, drafting, sending, and organizing communications and generating reports at your direction.
  • Authenticate you and secure your account and connected services.
  • Improve the quality and reliability of the Services, including diagnosing errors and measuring feature performance in aggregate.
  • Communicate with you about your account, security, updates, and support requests.
  • Comply with legal obligations and enforce our Terms of Service.

We do not use content from your connected services to build or train generalized AI/ML models, and we do not sell your personal information.

5. Artificial Intelligence Processing

Felix uses large language models to classify messages, reason about tickets, draft replies, and produce analyses. To do this, relevant content is sent to third-party AI model providers that process it on our behalf as service providers under contract.

These providers are contractually restricted to processing the data only to perform the requested operation and are prohibited from using your content to train their own models or for any independent purpose. We select and route to providers through an internal model layer; we can provide our current list of AI subprocessors on request (see Section 14).

6. How We Share Information

We share information only as follows:

  • Service providers (subprocessors): cloud hosting, database, workflow-orchestration, email-delivery, payment, and AI model providers that process data on our behalf under confidentiality and data-protection obligations.
  • At your direction: with the third-party services you connect and instruct Felix to act on (for example, sending an email you approve from your mailbox).
  • Legal and safety: when required by law, legal process, or to protect the rights, property, or safety of our users, the public, or Agent Felix.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising.

7. Data Retention

We retain information for as long as your account is active or as needed to provide the Services. Connection tokens are kept until you disconnect the relevant service or delete your account. Operational content (such as processed messages and generated artifacts) is retained for the period needed to deliver features you use and to maintain an audit trail, and is then deleted or de-identified.

We retain limited records longer where required to comply with legal, tax, accounting, or security obligations, and we delete or de-identify data when it is no longer needed for these purposes.

8. Your Choices, Access, and Deletion

You can disconnect any connected service at any time from within the Services, which revokes Felix's ongoing access to that account. For Google connections, you can additionally review and revoke access at https://myaccount.google.com/permissions.

You may request access to, correction of, or deletion of your personal information by emailing privacy@agentfelix.ai. When you delete your account, we delete or de-identify the personal information associated with it, except for records we are required or permitted by law to retain.

9. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, encryption of stored credentials, access controls, and least-privilege scoping of the permissions Felix requests. No method of transmission or storage is completely secure, but we work to protect your information and to promptly address any incident.

10. International Data Transfers

We operate in the United States, and your information may be processed in the United States and other countries where we or our service providers operate. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers of personal data.

11. Your Privacy Rights

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. California residents have the rights to know, delete, correct, and opt out of the sale or sharing of personal information; we do not sell or share personal information as those terms are defined under California law.

To exercise any of these rights, contact us at privacy@agentfelix.ai. We will not discriminate against you for exercising your rights, and you may appeal a decision by replying to our response.

12. Children's Privacy

The Services are intended for businesses and users who are at least 18 years old. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised policy.
